Neighborhood pool needs several thousand dollars worth of maintenance

Notes from Secret Woods Homeowners Association Meeting

Date: February 10, 2014
Board Members Present: Dan Flynn, Mark Wnuk, Mark Lemmenes, Sharon Snow, Rob Hagen.

Certified Quorum
Approved January minutes.

Order of Business:
Financial Reports were presented by Mark Wnuk and discussed. We are on fiscally sound footing.

Old Business:
Replace pool light—original quote from Paradise Pools for $2500, but will involve substantial extra work, including breaking up concrete deck and draining pool to run new conduit. Suggestion made to cap conduit at poolhouse.
Auto-fill float—Paradise Pools claims it’s working, but will check again. Still under warranty.
Landscaping—some bushes have been removed from fence at pool area, work will continue. A suitable bush will be planted at the corner where the tennis-court fence and the pool fence meet. Possibly diseased tree in entrance island has not been examined.
Neighborhood activities—suggested combining Chili Cook-Off or Spring Fling (hamburgers/hot dogs) with neighborhood work day on entrance area along Tiger Hole road. Before/after photos should be taken; tools needed: shovels, bags, rakes.
Board member—a replacement to complete David Theus’ term will be sought at the annual meeting.
Notice of Foreclosure, lot 90, 3180 Bent Creek—a letter was sent to the attorney point-of-contact advising him of initiation dues and the upcoming annual dues.
Dropbox—any member who wants access to dropbox, contact Dan Flynn.
Trailer and landscaping, 7213 Secret Woods Drive—homeowner was notified of violations and took action.

New Business:
Dues Increase FY15—discussed but agreed not to raise dues.
Board members—poll of board members to determine term lengths and expiration.
Board secretary—need permanent assignment at least up to date of annual meeting.
FY15 Budget inputs—please provide to Mark no later than March meeting.
Annual meeting—will be May 13, 7 p.m., at Southpoint Church, as usual. Letters will be sent after March board meeting.
Light at pool is out—bulb will be replaced.
Financial audit/accountant review—will be performed at conclusion of fiscal year. Budget will be presented at annual meeting.
Discussion of two possible changes to Code Covenants and Restrictions. Sharon will draft, and if approved by board, the changes will be included with the mailing about the annual meeting and dues, for homeowners to review/vote.

Miscellaneous and violations:
Homeowner engaged in sale has requested certification that he is current on HOA dues. Dan will provide letter verifying same.
Resident directory needs to be updated and distributed.
Area near mailboxes is weedy and untended. Investigate ownership of area (JEA?) and maintenance, including watering.
Two incidents of vandalism at/near poolhouse: a wire stuck into the lock of the men’s room (later removed), and crimps removed from bottom of tennis-court fence to allow someone to squeeze under fence (crimps to be replaced).

Next meeting will be on March 3rd at Dan’s house.
