The Secret Woods board approved the funding needed to get the Secret Woods pool repaired and reopened. Get the details on this and other neighborhood news in the February minutes.

Secret Woods Homeowners Association Board Meeting
Date: February 9, 2015
Board Members Present – Dan Flynn, Mark Wnuk, Pam Miles, Michael Byrd and Katherine Frazier.  Also present: Rob Hagen, Byron DeLong, Tracy Winfree, Laurie Flynn, Mike Miles and Linda Beasley (Vandroff
Insurance).
Certified Quorum – 6:06 p.m.
Approval of the November minutes – Motion by Michael Byrd and seconded by Pam Miles to approve the November minutes.  Motion Carried.

Financials – Mark Wnuk presented the financials for January. Recurring monthly expenses, resident reimburse and pool motor/pump were paid.  We are over budget on pool repairs. As noted in January minutes, Bugout is due bi-monthly and JEA is showing a negative balance.

Old Business:

  • Garage Sale – April 18th has been selected.  Pam Miles posted on the mailbox board.
  • Sign Painting and freshen up – Michael Byrd had a quote for $5,400. He is going to obtain more bids for our next meeting.
  • Repairs due to erosion –  Dan presented 3 estimates on doing the repairs. Houlihan Territory for $9,177.50, Land Impressions for $5700 and Absolute Land & Pond for $6,200 and $2,500 (bandaid solution).  After discussion, Michael Byrd will obtain some more estimates and have an engineer come to look at what is needed.
  • Back Entrance Lights – Rob will update in March.
  • Vandroff Insurance –  Linda Beasley attended the meeting to discuss current policy.  Linda advised us that we do not have Bond Insurance which Florida statues states we must have. Also, some of the insurance levels were discussed.  Linda is going to obtain quotes for the Bond Insurance, increasing our Workman’s Comp and quotes on General Liability from $1 – 5 million.
  • Tracy reminded the Board that we should get a letter/email confirmation that all 3 retention  ponds are covered under the policy.
  • New Neighbor –  Welcome basket was delivered by Mike and Pam Miles to 7434 SWT.
  • Pool Equipment Enclosure – Fiberglass needs to be repaired and 2 new support braces are needed.  Dan obtained  quote from T & T for fiberglass for $250 plus tax. The 2 new braces are $91.81.  Motion by Mark Wnuk and seconded by Michael Byrd to approve up to $400 for Dan to get the fiberglass repaired and get 2 new support braces.  Motion carried.
  • Parking in yard – C&R violation letter was mailed to home and lot owner.
  • Excess Equipment – Dan needs help in removing the pedestal at the pool house.  Mike Miles and Rob Hagen volunteered to help move it closer to the street and a sign will be placed on it that it is free to anyone who wants it.
  • Annual Report – Dan will complete no later than May 1st.  Board members & officers will be listed.

New Business:

  • Annual Meeting –  The annual meeting will be held on Monday, May 11 at SSBC community room.
  • Due for FY16 – Currently dues are $325 and have been that since 2012.  According to our bylaws there is a 10% increase limit each year.  After discussion, motion by Michael Byrd and seconded by Pam Miles to increase the annual dues for 2016 to $350. Motion carried.
  • Pool Closed – a new drain grate to open pool is needed and also, a vacuum gauge.  Bid from Paradise Pool for $475.  Motion by Michael Byrd and seconded by Mark Wnuk to approve Dan to have Paradise Pool do the work for $475.  Motion carried.
  • Pond Pump –  The pond pump is not working.  Dan to contact Lake Doctor for bid.
  • Marianne Pophal – Ligustrum (review fungicide), center Liriope, plantings, grass week and weedy.  Marianne does a great job of maintaining.
  • Mailboxes –  HOA is not responsible to repair any broken boxes.
  • Pool Lighting –  To remove “not approved for night time swimming” from DOH Operating
  • Permit, need licensed engineer to do luminosity tests.  Targeting next permit.
  • Violations – SWTW: trailer, SWT: RV.  Dan will send letters to homeowners.
  • Satellite Dishes –  Most violate C&R.  After discussion, it was brought up that FAA laws protect the homeowner; however it is speculated that placement may be the installer’s preference to simplify their job. Some homeowners are in compliance with dishes well out of view. Dan will investigate further and hopes to be able to follow through with notifications.

Miscellaneous:

  • Home for sale – SWTW & Chappelwood (expect initiation fee of $800)
  • Next board meeting will be held March 9th (2nd Monday) and the host will be Dan Flynn.
  • Meeting adjournment at 7:45 p.m.  Motion by Mark Wnuk and seconded by Michael Byrd to adjourn.
