Secret Woods Homeowners Association Board Meeting – Monday, January 8, 2024 Time: 6:30

  1. Certify Quorum: Rick, Skip, Laurie, Rebecca, Carty, and Linda
  2. Call to Order: 6:33 p.m.
  3. Approval of Previous Minutes: approved
  4. Financials
    1. Report: Linda sent a financial report to the board. American Electric has been paid for all of the lighting work done around the neighborhood. The neighborhood is in great financial shape. The pool cleaning bill drops this month and will save some money.

  1. Old Business:
    1. Neighborhood Ponds (Laurie & Dan): Solitude just came out, said the ponds look great, and left without treating them. The board is going to look for another company to manage the ponds in the spring/summer when the ponds are stressed. Solitude is paid $130/monthly and other companies may charge more. Discussion about going back to Lake Doctors. Discussion about dredging and if that would help things.
    2. Pool Lighting (Dan): Lights have been repaired/replaced. Electrical work was completed. Thanks, Dan, for overseeing this project!
    3. Tennis Court Lighting (Dan): Lights have been replaced with LED. THANK YOU, Kirill, for providing all the correct materials!
    4. Decoration Winners (Rick and Skip): Thank you to our judges and everyone that decorated his/her home! The decorations were lovely. Discussion about decorating the pool area and the entrances for Christmas next year. The signs have been placed in the store room, and one will be repaired before the next Christmas.
    5. Luminaria (Laurie): Luminaria night was a success! There was a nice turnout for cookies and cocoa. The board will provide cookies and cocoa again next year.

  1. New Business:
  1. Webmaster Neighbor Requests: No new requests.
  2. Yard of the Month Sign (Byron): The sign needs to be repaired. Thank you, Byron, for finding someone to fix the sign. Motion approved to spend up to $100 to fix the sign.
  3. Renewal of website host (Laurie): Laurie proposed to go monthly with billing so the board can investigate other website hosts. The price of the current web host is increasing. Bill Bortzfield will pay the monthly fee and be reimbursed. Motion approved to go to monthly billing and look for a new website host.
  4. Painting tables at the pool: The board will look back at the previous two estimates and possibly get a third estimate.

  1. Miscellaneous and Lot Concerns
  2. Violations: No progress on the boat being covered up. A second letter is with a reminder and a firmer timeline is to be sent. Discussion about a wall built in a backyard. The board is going to meet with the ARC to clarify rules and discuss which member is going to be the head of the committee moving forward. The board would possibly like a member of the ARC to come to the board meetings and give a 5-minute recap of neighborhood requests.
  3. Architectural Review Committee: none
  4. Items from Board Members & Guests: Dan and Laurie to bring welcome package to new neighbors. Any items for the March agenda need to be sent to Laurie.

Revisit having electricity at the back entrance. It has been rainy and dark. Maybe another meter closer to the location is possible? It costs $130/hr to dig a wire from the pool. The project would probably cost $5000+. Different lighting options were discussed as was making the back entrance look the same as the front.

Discussion about keeping dues at $400 for the coming year. Linda is going to look at the expenses from the previous three years and see how much everything has increased. The dues may need to be raised next year as there will be several projects to be completed i.e. new windscreens for the tennis court.
