3/2/2020 Meeting minutes 

Certified quorum – 6 board members present Dan, Gary, Rebecca, Velma, Jenny, Tracy , guests- Laurie and Byron 

Certified and approve minutes

Gary talk about financials. Everything is balanced and we are in good financial shape. Gary wants to try and streamline the budget process for future treasurers. 1- keep annual budget, 2- keep monthly expenses, 3- keep an updated customer list maintained to use to match up payments, 4- set up formal transaction records- line by line (ie homeowner list). Purpose of this- quickly glance at who has paid and who hasn’t paid over the years. The report is automatically populated. Discussion- is there a correlation between the bank transactions? 

Budget at the beginning of the year? A big challenge. Currently it is May through April instead of January through December. 

A new manager at Jax FCU called Dan about a special on a money market account at 1% interest with up to 6 transfers per month to replace savings. However, this is an intro interest and which may end up at a lower rate later, so we should keep savings account as is. We also have money in CD’s which accrue good interest for us, currently about $50 a month interest for the money on CD’s. 

Old business:

Mail package box- mail carrier put in work order on 2/20 on box 1254A and Bank of boxes #16476 (which includes HOA box) which have bolts rusted through. Mailboxes need repair! 

Pool leak- APS applied epoxy but not sure how well it will work.  

High water and electricity bills recently are a bit of a concern.

LOT 97 foreclosure- Dan keeps getting letters but no progress. 

Book exchange- Gary moves that we purchase single door library. All in favor. Dan will let Julie know which one to order

Bugout- Dan will follow up with company about key

Pool flooding- not flooding anymore- yay!

Fence repair- around retention pond and lot 1. Approved NTE $8000

Land clearing- done by Stanford Tree Service $2950- great price!

Annual meeting-Monday 5/4 at 7 pm South Point BC. Letters will be sent on 3/9 $200 approved for mailings. What did HOA provide last year for meeting: Drinks, cups, plates, snacks, baked goods. 

Mailings will ask for contact information verification- addresses, phone numbers, email etc for directory to be up to date. Discussion of what is on cardstock that is distributed- possibly make room for more than 1 phone number. Revamping distribution list spreadsheet. 

SunBiz.org- will not incur a fee if registered after 5/1/2020

Board tenure status- Gary and Tracy’s positions expiring May. Need to find replacements. Velma is open to have someone to take her spot. Jenny has 1 year remaining. Rebecca has agreed to sign on for an additional year. Dan and Julie will be fulfilling their 3 year terms. 

New business-

Bill restored an online calendar to the website. Jenny and Dan have editing capability. Board meetings will be automatically showing as 1st Monday of every month.

Bill explored paypal account for online payments of annual dues- not going to be pursued.

Additional items- 

Dead grass at pool needs to be replaced- sodded or plugged to get restored. Authorized NTE $500 approved by board.

Pressure washing needs to be done at the pool, furniture, roof of pool house authorized NTE $800 approved by board. 

Architecture review committee approved lot 65 patio 

Next meeting set for April 13th 6 pm at Flynn House.
