Secret Woods Homeowner’s Association Board Meeting

Monday, April 13, 2020

 

  1. Certify Quorum
  2. Board Members: Julie Carter, Dan Flynn, Tracy Winfree, Rebecca Lee, Gary Basset, Velma Milliner
  3. Guests: Pat Mallon, Chris Fowler, Nivens, Byron DeLong

 

  1. Meeting called to order at 6:00 p.m.

 

  1. Previous minutes were approved.

 

  1. Financials:

 

  1. Gary discussed the March reconciliation. The budget is balanced, and the HOA continues to spend under budget.
  2. Discussion/proposal to add a Board Discretionary Fund to the budget. Will this need to be added/approved by the next board?
  3. Discussion of savings/contingencies and funds in CDs.

 

  1. Old Business:
  2. Mail: Package box 1254A and SWHOA box are not yet repaired. SWHOA mailbox is rerouted to Dan Flynn’s box. Working with the post office on the repairs.
  3. Pool leak: repairs to be completed in the fall after the summer season ends.
  4. Lor 97: No change.
  5. Library: Julie is going to order soon. It was decided to use a composite post that screws into the ground (27 inches). Gary/others to help with installation.
  6. Bugout: They have the correct key for the maintenance gate.
  7. Irrigation: tbd
  8. Pool flooding: Working with ASP.
  9. Sod and Pressure Wash: Need $550 for 1 more pallet of sod. $550 approved by board. The areas inside the pool gate and near the maintenance gate are thinning. Discussion about different types of sod.
  10. Fence Repair: $6426. The project will start around May 1.

 

  1. New Business:
  2. Annual meeting: Postponed. Southpoint Baptist Church is closed. Dan to send out an email about the postponement. If the resident does not have an email address on file, he will send out a letter. We need to have 30-60 day notification prior to holding an annual meeting. Discussion about having a Zoom informational meeting. No votes. We would just discuss the previous year/budget.
  3. Tenure status: Tracy and Gary will extend due to annual meeting postponement.
  4. Insurance renewal: Discussion of different policy types and fees that were itemized in the bill. Should we shop for other coverage? Tracy will get a quote from some other companies to see if what the HOA is being charged is reasonable. Board will make a decision this week.
  5. Emergency plumbing repair: Dan had the broken line fixed. Submitted $200 bill and board approved.
  6. New basketball backboard: Motion by Tracy. Julie 2nd. Board approved. Not sure of cost yet.
  7. Pool permit: No bill yet. The permit is good until June 30.

 

  1. Miscellaneous:
  2. Discussed dues. HOA fees are due May 1. Reminders are posted at the mailboxes and on Facebook. The drop box at the mailbox can now be used for checks.
