Fountain Timer Replaced; Food Truck Night Being Planned


A big thank you goes out to our neighbor Dan Flynn, who got the Secret Woods Drive fountain working again, without being forced to spend thousands on a new motor. More on that and the rest of this month’s neighborhood news is in this month’s board minutes.

Minutes

  1. Certified Quorum- Dan, Sallie, Ramses, Matt, Tracy, Rebecca Guests- Byron (thanks for hosting!)
  2. Call to Order
  3. Approval of Previous Minutes Sept 14th– approved
  4. Financials
    1. Report: Expenses and Balances.
      1. High tech cleaning, pool, JEA, Lake Doctors to be paid. Assets are healthy.
      2. Reimbursements for Jenny and Tracy will be done soon. Matt is working with JAX FCU.
  • Estoppel letter request- Matt had some questions about this before he filled it out. Dan referred him to the sample estoppel in Sync file.

 

  1. Old Business
    1. Reconcile Financials: Board had previously approved $700 for Debbie’s accounting.  The firm will call Dan when an accountant has been assigned to the
    2. Mail: Package Box 1254A pending. Work order is in- just waiting.
    3. Neighborhood Library install: Rebecca says it will be installed in cooler weather. Rebecca will post looking for help once the date is decided.
    4. Pool Keys: Dan is not yet added to the Piner’s list but there are extra keys for new owners so there is no real rush right now.
    5. Secret Room: Tracy purchased a new lock and will be installing it shortly. Board approved up to $200 for Tracy to purchase the lock.
    6. Pool Refurbish: Dan says ASP quote is really high. He received an estimate from Classic Marcite for a total of $31,468. Waiting on Portofino – Dan and Sallie will meet with them on 10/6.
    7. Bug out: Ants are bad in and around the pool. We need to ask Bug Out to spray for ants. Dan has seen a decline in ants around the pool which could account for the cooler weather or Bug Out recent treatment. Dan would like to wait before we ask Bug Out to come out for a special spray.
    8. Small Pond: Board approved $2,354 for a new pump w/3yr warranty. However the fountain is working again because Dan is manually turning it off and on and replaced the timer and the gfci (thank you Dan!). Sallie and Dan suggested getting a new timer and see if that works for now to save some money. So far so good! We will hold off on the purchase for now. Dan is not impressed with the Lake Doctors and is going to look into other lake services.
    9. Picnic table removal: Some nice homeowner took it upon themselves to remove the  table however the city has yet to pick it up.  Might need to cut it into smaller pieces and move it off the grass. Tracy believes that the city should be able to pick it up next week. The boards need to be moved off of the grass.
    10. Food Truck: Sallie has spoken to Robert Hocking from Food Trucks of Florida and he said he would post the job opportunity to the trucks as soon as we have a date locked down. Sallie is waiting to hear back from Robert about details. We should be able to have 2 food trucks at the pool parking lot. Looking to do this event on a Friday night.

 

  1. New Business
    1. Pool restrooms: Bathrooms need to be updated and redone. This is something that the board will need to look into. Matt volunteered to research quotes for this- thank you!

 

  1. Miscellaneous and Lot Concerns
  1. Violations. 4 letters were sent to the homeowner and there has already been some improvement on the lots that were in violation. Some improvement but still a concern. Sallie will continue to monitor.  David T. spoke to one homeowner directly re: a project that they are working on, but to Sallie’s eye nothing has changed so might need to address that again.
  2. Architectural Review Committee: Fence project for one lot has been completed and there was approval for pavers to replace broken driveway for 2 homeowners.  1 project has been completed and the other should be completed later this month
  3. Items from Board Members & guests
    1. Dan has reimbursements that need to be approved- for flag lights and GFCI purchases. Board approved.
    2. Tracy brought up a new homeowners insurance policy that is significantly cheaper than what the board currently pays. Tracy will bring this back up in the beginning of the year to discuss potential changes or next year
