Board Meeting – Monday, November 2nd, 2020 Time: 6:30 Online Meeting via Zoom

 

Minutes

  1. Certified Quorum- ​Sallie, Tracy, Rebecca, Matt, Ramses, Jenny, Dan guests- Byron (thanks for hosting!), David T and David H.
  2. Call to Order
  3. Approval of Previous Minutes Oct.-​ Rebecca motion to approve minutes- All approved.

4.    Financials

  1. Report​: Matt reported all outstanding expenses paid to board members and neighbors who have submitted receipts.  Tracy suggested a quarterly recap of finances and Matt agreed to this. Matt will bring financials to the December meeting.  

 

5.    Old Business

  1. Reconcile Financials:​ Dan is working with Debbie’s accounting. They haven’t moved on it yet but will let Dan know when they start on the SWHOA audit.
  2. Mail: Package Box 1254A- no change. Dan has tried to follow up at the post office but there has been no movement
  3. Neighborhood Library install:​ Rebecca has the library in her garage and Nate is looking over directions on installation
  4. Pool Keys:​ No hurry to get added to Piner’s list due to having several extra keys.

Secret Room:​ Tracy installed a new lock and Dan gave the codes to Bug Out, ASP pool, Hi tech cleaning service, and Sallie. It looks great!  If we get a new vendor we are able to give them a new code or erase a code that a fired vendor uses.

  1. Pool Refurbish: ASP gave a really high quote. Received estimate from Classic Marcite for a total of $31,468. Portifino sent a pretty high bid at $35,0000. Also, just for the cool-decking , got a bid from Shark Coating. The deck coating is a great alternative to what we have but the cost just for the decking is about $28,000. What about asking for an extended warranty for the deck?

Dan asked Matt about the health of the budget with this upcoming big pool expense. He asked when the CD’s come to maturity. Sallie asked how much we have in savings which is over $45,000. The monthly expenditures have been around $2,500. Matt will provide an expense sheet for the next meeting in December that includes the current status of the budget.

Matt provided an update on bathroom renovations. Materials alone $800-1200 install not included. Tracy thinks we need new mirrors and sinks and a light switch in the male room. Tracy has a contact who is experienced in a bathroom reno and he will come by and look at the bathroom and give a quote.

This will look to be a piecemeal process as finances become available.

Dan will take furniture that needs to be re-strapped to Atlantic Coast Powder Coating. The umbrellas came from Palm Casual and need to be replaced.

  1. Small Pond: Board approved $2,354 for a new pump w/3yr warranty. However the fountain is working now so we’ll just keep it how it is. Dan was reimbursed for a new timer switch.
  2. Picnic table removal. Byron has put in a request with the city for the removal. It has been picked up.  
  3. Food Truck: Sallie is planning to schedule a food truck for 11/20. Waiting on confirmation.

 

6.    New Business

Luminaries to be discussed during the December meeting.

We will be setting up tables at the pool to allow for social distancing. Rebecca needs the numbers for the amount to buy and Dan will order the sand to be delivered.

 

New yard of the month process- put directions on the back of the yard of the month sign so that the winner knows what to do next once the month is over.

 

7. Miscellaneous and Lot Concerns

  1. Violations. Resent 2 letters to homeowners that have not shown improvements on their property.  Sallie​  hand delivered one letter that was sent back. David T. complimented improvements of recipients of homeowners who had received letters previously and made improvements.
  2. Architectural Review Committee: A homeowner has asked to install solar panels on their roof that faces​           their back and side yard. ARC committee approved this and let the homeowner know.  
  3. Items from Board Members & guests

A complaint was reported from an altercation that happened on Halloween night due to a guest driver being asked to slow down by many neighbors due to so many children being out trick or treating.
