Attorney hired by board to deal with violations by residents

The Secret Woods board has hired an attorney to deal with ongoing violations of the neighborhood’s covenants.  The board is also investigating whether to bring in homeowner management firm.

MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: March 12, 2012
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, Rob Hagen, Jamie Montgomery, David Theus, and Ross Thompson.

NEIGHBORS PRESENT: Byron DeLong, Mike Veltri, Jeff Stout, Skip Cooney and David Hargnett

Meeting was called to order at 6:05 p.m. The minutes from the February 2012 board meeting were accepted as written. The financial statement prepared by Rob Hagen was accepted as written.

OLD BUSINESS:

ELECTRICITY USAGE FOR PUMP: Jamie Montgomery spoke with The Lake Doctors and explained the excessive electricity usage for the front fountain pump. There is a timer on the pump that will be activated and set for the fountain to start at 7:00am and automatically shut down at 11:00pm.

BOARD MEMBER ELECTIONS: Three board members’ terms will be completed at the annual May meeting, thus leaving three vacancies. The search has begun for volunteers to become members of the Secret Woods Homeowners Association.

VIOLATION LETTERS: Several violations were brought to the attention of the board. After discussion of each issue violation letters will be mailed to the homeowners involved.
MAILBOX RENOVATION: After two bids were accepted with no results, Jamie Montgomery has volunteered to begin the search for bids to renovate our mailbox station. The board had previously voted an expenditure of no more than $2,000, and it was determined to keep this amount in place. Jamie will keep the board informed on his progress.

ANNUAL MEETING: The meeting room at Southpoint Baptist Church has been reserved for our annual meeting. Save the date of Monday, May 14, 2012 for this all important meeting which begins at 7:00pm. The board discussed our various roles to plan and execute the annual meeting.

DUES INCREASE: Letters to each homeowner as well as an invoice for our annual membership dues were mailed in the past two weeks.

NEW BUSINESS:

ATTORNEY ON BOARD: After much discussion the board approved hiring an attorney to intercede on our behalf regarding the issues on Misty Creek Lane. Several covenants, as well as city ordinances, are repeatedly being violated.

MISCELLANEOUS: Skip Cooney brought to the board the possibility of hiring an outside Homeowner Management and Legal service. Our neighborhood board would still be in place but all violation letters, legal issues, and CPA services would be conducted by an outside service. Skip volunteered to explore this option, visit next month’s meeting and share his findings.

With all matters discussed and no further business at hand, the meeting was adjourned at 6:55 p.m.

The next board meeting will be held April 9, 2012, 6:00 p.m. at 3153 Secret Woods Trail West.
