MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING

DATE: December 13, 2009
LOCATION: Publix Meeting Room
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Beth Reiney, Ross Thompson, and Rob Hagen
HOMEOWNERS PRESENT: Bryon DeLong

Meeting was called to order at 6:00 p.m. The minutes from the November board meeting were accepted as written. The financial statement prepared by Pat Parrish was accepted as written.

OLD BUSINESS:

FOUNTAIN REPAIR: The fountain repair company diagnosed the problem with the front pond fountain as a coupler that needed to be replaced. Both the motor and pump were checked and are in good working condition. The coupler replacement cost was $100. The board approved this expenditure. Again there was discussion regarding obtaining a maintenance contract. The consensus was to get a total of the past 12 months pump expenditures and have these numbers compared with the cost of an annual maintenance fee. This discussion will continue at next month’s meeting.

*LUMINARY NIGHT: All supplies for the luminaries have been delivered to each homeowner and the sand is now at the pool parking lot. Thanks from the board to Cheryl Lemine who assisted again this year with the organization of the sand, bags, and candles. The board approved the cost of purchasing two sand scoops for neighbors to use when getting the sand for their luminary bags. All bags should be placed in front of each house and lit at 6:00pm Saturday night.


NEW BUSINESS:

POOL UMBRELLAS: It was recommended that the poolside umbrellas be taken down for the winter and stored in the storage room at the cabana. These umbrellas will be numbered so whomever installs them next spring will know where each belongs.

*SWIMMING POOL DRAIN: Crown Pools has been notified by the state that our pool is not in compliance with the new regulation regarding the required safety drains. There was a shortage of the specific drains, however, these are now available. The board approved the expenditure of $444.65 to have Crown Pools perform the required dive and install a new anti vortex grate. This will bring the pool into compliance with the Virginia Graeme Baker Pool and Spa Safety Act.


MISCELLANEOUS:

*BLOCK CAPTAINS: There was discussion on ways to revamp the Block Captain Program. It was determined that we need to identify who the block captains are, if they are still interested in the position, and start the new year with fresh ideas on events and communication. Each current Block Captain will be called this month.

*THANK YOU NOTES: A thank you note and $25 gift card will be sent to Cheryl Lemine in appreciation of her involvement with the luminaries. Also a thank you note will be sent to Winn-Dixie in appreciation of the plastic bags used to distribute the luminary supplies.

*BROKEN ITEMS TO BE REPLACED: The pole on the skimmer net at the pool is broken and the net strap on the tennis net needs to be replaced. Both these items will be purchased and replaced.

With all matters discussed and no further business at hand, the meeting was adjourned at 7:06pm.

The next board meeting will be held Monday, January 11, 2010 at the Publix Meeting Room at 6:00PM.
