MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING

DATE : March 8, 2010
LOCATION: Publix Meeting Room
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross Thompson, Beth Reiney and Rob Hagen
HOMEOWNERS PRESENT: Bryon DeLong , Al and Sheila Morsch.

Meeting was called to order at 6:00 p.m. The minutes from the February board meeting were accepted as written. The financial statement prepared by Pat Parrish was accepted as written.

OLD BUSINESS:

STORE ROOM: A huge thank you to David Hargnett and Ross Thompson for all the hard work they did on the reorganizing of the store room at the pool. With new shelving and storage bins the room is now organized and clean, Thanks, guys!

*FOUNTAIN REPAIR: The fountain at the back entrance is not working again. Rob Hagen will check the breaker and all connections before a call is placed to the repair company. This has been an on-going problem and the board discussed solutions. No satisfactory solution was brought to the table.

BATHROOM RENOVATION: David Hargnett and Ross Thompson reviewed the bathrooms at the pool area and made a comprehensive list of items needed to update these rooms. The board approved $300 expenditure for Kilz, paint, painting supplies, soap dispensers, towel racks, toilet paper holders and automatic door closures.

Much discussion was held on ways to prevent vandalism in the pool bathrooms. The best idea is to install steel doors and frames which are costly, however, the board feels the expenditure would prevent continued damage to the pool area. An amount of $2,500 was accepted for purchase of three steel doors and frames including hiring a licensed handy man to install. Currently the board is waiting to receive bids on this project.

POOL LIGHTS: A ballast and three bulbs in the pool area have been replaced with an expenditure of $190. It was brought to the attention of the board that another three bulbs are out, and Rob Hagen will check the circuit and replace the bulbs.

ENTRANCE ANNOUNCEMENT SIGNS: There has been a delay in the construction of the bases for the new announcement boards. These should be completed and installed by the end of April.

SOCIAL EVENTS: The Spring Fling Luau will be held on Saturday, March 27 from 4pm - 7pm, poolside. Pulled pork barbeque, hotdogs and hamburgers will be offered with neighbors providing the side dishes and desserts. Events scheduled will be the Hula Hoop contest, Corn Hole Toss, and the Bounce House.

*ANNUAL MEETING LETTERS/DUES LETTERS: The annual meeting/dues letters have been mailed. The Annual Board Meeting will be held on Monday, May 3, 2010 at the Southpoint Baptist Church on Tiger Hole Road beginning at 7:00 pm. Our councilman, Don Redmon, will be invited to attend this meeting.

Much discussion ensued on how to get our neighbors to attend this annual meeting. We must have 42 neighbors present to hold the meeting and make official decisions. It was suggested that each board member canvas their street to either invite their neighbors or obtain a signed proxy. It is vital that residents become involved in the due processes in managing our neighborhood.

NEW BUSINESS:

FLORIDA FRIENDLY LANDSCAPING GUIDELINES FOR HOMEOWNERS ASSOCIATIONS: The Duval County Extension offices are holding a meeting on Wednesday, March 17, 2010 from 1pm - 3pm at their offices at 1010 N. McDuff Avenue. This meeting will be held to discuss ways for all homeowners and especially neighborhood associations to maintain Florida-friendly landscaping. It is most important for all folks to be aware of the chemicals they use on their lawns.

REQUEST FOR FENCE: Our neighbors, Al and Sheila Morsch made a request to the board to install a wood-toned vinyl fence in their back yard. After researching the bylaws it was determined that this type of fence is acceptable if the color is wood tone. As their proposed fence met these requirements it was approved by the board.

MISCELLANEOUS:

COMMON AREA IMPROVEMENTS: The board discussed the need to plant additional azalea bushes along the Goodnow fence to replace ones that died. It was also felt the beds need fresh mulch to start the spring season. Our yard man will be contacted about these projects. Beth Reiney volunteered to get pricing on both mulch and azalea plants to see if she might be able to purchase these items at a wholesale price. More discussion at next month’s meeting.


With all matters discussed and no further business at hand, the meeting was adjourned at 7:53 PM

The next board meeting will be held Monday, April 12, 2010 at the Publix Meeting Room at 6:00PM.
