MINUTES OF SECRET WOODS HOMEOWNERS ASSOCIATION MEETING
DATE: January 10, 2011
LOCATION: 3153 Secret Woods Trail West
BOARD MEMBERS PRESENT: Gary Bassett, Katherine Frazier, David Hargnett, Ross Thompson and Rob Hagen.
NEIGHBORS PRESENT: Bryon DeLong

Meeting was called to order at 6:05pm. The minutes from the December 2010 board meeting were accepted as written. The financial statement prepared by Rob Hagen was accepted as written.

OLD BUSINESS:

IRRIGATION SYSTEM: Two bids were brought to the meeting by Dave Hargnett. After carefully reviewing each proposal the board voted to accept the bid presented by Hulihan Territory. His proposal is to either replace our entire irrigation system, adding a new zone, new timer, and new faucet, or improve our existing system. The board voted to put a ceiling of $2,500 for expenditures for this improvement. Ross Thompson will join Dave Hargnett in meeting with Hulihan Territory again, previewing the plans, making adjustments as needed and getting a written statement prior to commencing with the project.

FOUNTAIN REPAIR: Once again both of our fountains are not working. Innovative Fountain Repair has been called and a service call has been requested for both fountains.

VII: SEC 8: CPA FOR ANNUAL STATEMENT: According to our by-laws a CPA must review and prepare an annual financial statement. A bid for this service was brought to the meeting by Dave Hargnett. Cost would be approximately $350 - $500 depending on the complexity of the report. This financial statement cannot be completed until our fiscal year ends in May. Prior to our annual meeting the board will select the accountant who will perform this service.

MISCELLANEOUS:

TIE DOWNS FOR TENNIS COURTS: Zip strips to tie down the fabric surrounding the tennis courts have been purchased. Gary Bassett has volunteered to tie down any loose
areas around the tennis courts.
BOARD MEMBERS BONDED: There was an inquiry regarding the covenant that requires board members to be bonded. It was felt that the association’s liability insurance covers this obligation, however, this issue will be discussed with our insurance company.

With all matters discussed and no further business at hand, the meeting was adjourned at 6:52 p.m.

The next board meeting will be held Monday, February 14, 2011, 6:00 p.m.
